Applications are invited from suitably qualified candidates for the following position within the University:

FACULITY OF POSTGRADUATE STUDIES – RESEARCH AND INNOVATION 

ADMINISTRATION OFFICER 

Reporting directly to the Senior Assistant Registrar – Faculty of Postgraduate Studies, Research and Innovation, the successful candidate will be responsible to provide high level administrative and operation support to the Faculty of Postgraduate Studies.

Primary Responsibilities

Key Responsibilities

  • Schedule meetings, prepare meeting agendas, take minutes and follow up with action items. 
  • Manage correspondences, filing, and maintain accurate data base for academic staff and post graduate students in line with university polices. 
  • Coordinate Post Graduate Students enquiries, academic staff schedules 
  • Coordinate with subordinates to ensure office is well managed and in good condition for daily operations. 
  • Liaise with other University divisions including HR, Accounts, Student Services 
  • Coordinate and manage administrative operations, and financial expenses (if any) and provide updated financial reports/acquittals.

Qualification & Experience

  • Have a Diploma or Bachelor’s degree in Business Administration, Management or Related field. 
  • Have a minimum of 3 years of relevant work experience in an Administrative or office support role. 
  • Strong computer skills, emails, MS Office and data base systems management. 
  • Understanding of confidentiality and professional conduct in an Academic setting 
  • Being proactive and able to work independently with less supervision. 
  • Exposure working in a university or Tertiary Education environment is desirable.

Conditions of Service

  • Base Salary: K31,288 – PGK38,241 per annum

(Level of appointment depends upon qualification and experience)
