Section Head's Message

"It is my pleasure to welcome you to the Personnel Administration section in the HR Department. This section is responsible for the administration of employees contracts to ensure that what is stipulated in the contracts are implemented and honored by the University in a timely and effective manner. We thrive on the Core Values of the University as we perform our roles in this section. We believe that you will bring along to the University your own unique talents, skills and outlook to enhance the organisation. For this reason, this section is committed to ensure that your contract is administered accurately because you deserve to be rewarded for your qualification and experience. This section entails; Salaries & Grading, Leave & Travel, Superannuation & Retirement and Record Management. Employee Benefits

Health Insurance

The University provides a Medical Clinic that is situated on Campus and is run by A Medical Officer, Health Extension Officer plus 16 Nursing Officers. The Clinic is supported by the University.  Staff who are employed by the University also support through a very minimal fortnightly deduction.  Staff, spouses and dependents who are below the age of 19 years can access the clinic at no cost. 

1. Citizen staff (Contract and permanent) can claim refund from their sick leave days if they seek medical service from outside the university’s clinic for conditions that cannot be attended to by the clinic. The University also encourage staff to take out private medical insurance cover if they so need.

2. Non-citizen staff are also encouraged to take out their own private medical Insurance because they are not eligible for any refund.

Retirement Plans

The University does have a retirement plan that coincides with the Public Service retirement exercise. The University is a state agency, and adheres to mandatory age limit set by the Public Service, especially for the non-teaching employees. For employees who are teaching, the University does allow them to work beyond the mandatory retirement age in some cases. Staff are encouraged to join retirement plans provided by the superannuation funds as the University remits fortnightly to them for employees.

Superannuation

Superannuation is mandatory contributions by citizen employees to two (2) of the nation’s major superannuation funds (namely; Nambawan and Nasfund superannuation).  Employees have the option to choose which one they wish to contribute to.  Yes, there are retirement benefits provided by these superannuation fund companies.  Awareness is conducted by the superannuation officers upon retirement of employees to alert them the products retirees can access before the actual retirement happens.  These meetings are organized by this Office so that retirees are aware of options available to sustain them while on retirement.

Leave & Travel Policies

Leave Policies

The section manages and initiates the process of Leave & Travel benefits/entitlements for the employees of the university with their legal dependents. It ensures that the benefits and entitlements are processed when they are due in line with the terms and conditions of the university. The section also helps employees with other issues pertaining to Leave & Travel requests.

  • Annual Leave

    Annual leave is taken by employees to recreate or recuperate after one or two years of continuous service. Any balance not taken will be paid out when employees cease employment through resignation, retirement, or death.

  • Long Service Leave

    Long Service Leave is an entitlement for citizen employees after fifteen (15) years of continuous service. Employees are encouraged to access it upon cessation of employment through resignation, retirement, or death. The total accrual will be paid out similarly to annual leave.

  • Compassionate/Parental/Emergency Leave

    This is a paid leave granted under genuine or extenuating circumstances. Employees can take up to two weeks in a year.

  • Sick Leave

    Sick leave is taken when an employee is ill. A medical certificate or report must be submitted as proof of illness and to indicate the required duration.

  • Duty Leave

    Duty leave is granted for work-related business or professional development activities.

  • Leave Fare - Travel Benefit

    A travel benefit (airfare) for fulltime employees, both citizens and non-citizens, with their spouse and dependents under nineteen (19) years of age.

  • Repatriation Fare - Travel Entitlement

    A travel entitlement from the place of work to the place of destination for fulltime employees upon cessation of employment. Applicable to both citizen and non-citizen employees, along with their spouse and dependents under nineteen (19) years.

  • Settling Out Allowance

    An allowance provided for the removal of personal effects when an employee leaves employment.

  • Approval Requirement

    All leave types must be approved initially by the Head of School or Department. Any unauthorized absence will be treated as Leave Without Pay (LWOP).

Dependent Information

Employees must provide documents such as marriage certificate, birth certificates and adoption certificates to claim benefits for their dependents upon initial employment.
